The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. From coordinating travel, maintaining relationships with service providers, and providing support to the Human Resources Manager, you will be responsible for completing multi-level tasks in a professional and timely manner. This role is crucial in fostering a well-organized and efficient work environment.

Responsibilities

  • Manage the scheduling and use of the meeting room, ensuring all meeting protocols are adhered to.
  • Coordinate with a travel agency to manage domestic and international travel arrangements for all employees, including flight tickets, hotel bookings, restaurant reservations, and taxi services.
  • Organize corporate events, including the annual Sales Conference and Christmas party.
  • Handle incoming and outgoing documents via courier services, maintaining an organized record of all correspondence.
  • Act as a liaison between all internal departments and external service providers, such as cleaning companies, building administrators, etc.
  • Oversee the supply of kitchen and office consumables, ensuring all necessary items are readily available.
  • Manage the company’s car fleet.
  • Assist the HR Manager in GDPR compliance activities.
  • Coordinate occupational health services with Medicover and Health, Safety, and Fire Protection training sessions conducted by an external provider.
  • Record and manage invoices from the Administrative / Human Resources department using SAP.
  • Provide customer support via phone or email for Tchibo products, using the office address and reception phone.

Office Assistant Job Vacancies in Romania Job requirements:

  • Bachelor’s degree
  • At least 2 years of experience in a similar role, such as Office Assistant or Assistant Manager
  • Excellent knowledge of English (written & verbal)
  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize and prioritize work
  • Entrepreneurial spirit and initiative
